Request for Quotation: Avocados

Subject: Request for Quotation – Supply of Avocados for Distribution in Poland

Dear Supplier,

We are a professional fruit distribution company based in the Netherlands and Poland, supplying large supermarket chains in Poland. We are seeking a reliable supplier for avocados and would like to request a quotation for the following:

Product Specifications:

Variety: Green-Fuerte, with Hass as an option.
Caliber: 6-8 pieces per 2 kg packaging.
Packaging:

Dimensions: 30x20x10 cm.
Fruits packed on a cardboard tray.
Packaging must be clean, intact, and free from any foreign labels.
Materials used for packaging must be new, clean, and food-safe.

Hardness: 6-18, with fruits chilled at 4 to 7°C.
Minimum Requirements:

Undamaged and healthy; no signs of rot or spoilage.
Clean, free from any visible foreign contaminants.
Firm, without excessive surface moisture.
Free from pests and damage caused by pests.
Without foreign odors or flavors.
Stem length: not longer than 10mm.
Ripe fruit should be free from bitterness.

Maturity:

Minimum dry matter content:
- 21% for Hass variety.
- 20% for Fuerte, Pinkerton, Reed, Edranol varieties.
- 19% for other varieties, except those for which lower dry matter content is acceptable.

Accepted Damages:

Small Defects: Up to 10% of the product, including minor shape or color defects, or small skin defects.
Large Defects: Up to 5% of the product, including shape defects or minor skin damage, with tolerance for up to 1% of products that do not meet minimum requirements.

Uniformity:

Contents of each package must be uniform, with fruits of the same origin, variety, quality, ripeness, size, and color.

Labeling:

Must include supplier/distributor name, product character, variety name, country of origin, commercial specification, and product identification batch number.
Labeling must be in Polish.
Quantity Required:
Initially, 3 containers of 20 tons each per month, with the possibility of increasing volumes based on performance.

Supplier Requirements:

Experience: Provide details of your experience in supplying avocados at these volumes and to the European market.
Produce preferably be EU lab tested
Transport: CIF (Cost, Insurance, and Freight) to Poland, including transport to the buyer’s main warehouse.
Compliance: Products must meet Polish and EU food safety regulations.

Dear Supplier,

We are a professional fruit distribution company based in the Netherlands and Poland, supplying large supermarket chains in Poland. We are seeking a reliable supplier for pineapples and would like to request a quotation for the following:

Product Specifications:

Packaging:

Box dimensions: 30x40x15 cm, with 5 kg per box.
Clean and intact, without any foreign labels, approved for contact with food.
Packaging must be uniform, containing pineapples of the same origin, variety, quality, size, and color.

Mass Range per Piece: 900g to 2200g.
Caliber:

Caliber 6: 1750-2200g.
Caliber 7: 1500-1850g.
Caliber 8: 1350-1700g.
Caliber 9: 1200-1550g.
Caliber 10: 1000-1350g.
Difference in mass per piece: up to 400g.

Color Scale:

C1: Starts to turn yellow/orange on ¼ of the surface.
C2: Starts to turn yellow/orange on ½ of the surface.

Minimum Requirements:

All fruits and crowns should look fresh, without any signs of withering.
The crown may be reduced/pruned but must be compact, without dry or damaged leaves.
Healthy fruits; excluding any products that start to rot or become spoiled.
Clean, free from visible foreign bodies, virtually pest-free, and free from pest damage.
Free from abnormal external moisture, foreign odors, or tastes.
Flesh must be in good condition, without color changes (internal browning).
Free from blemishes, unhealed cuts, bruises, burns, holes, and cracks.
The sugar content in the pulp should be at least 13° on the Brix scale.
The stem should be cut cleanly and should not be longer than 2.5 cm.

Large Defects: Up to 5% of the product, including more significant shape or skin defects, with tolerance for up to 1% of products that do not meet minimum requirements.

Labeling:

Must include supplier name, product type, country of origin, commercial specifications, and preservatives used.
Labeling must be in Polish.
